Administrative Assistant IT

Computer Fx is looking for a resourceful, well-organized Administrative Assistant / Office Manager to provide support for our rapidly growing team.  Ideal candidate would be highly-motivated, high capacity, driven, self starter.  Should be able to work with minimal supervision.  Needs strong problem solving skills.

This position is a great opportunity to learn about many aspects of running a business and to gain real-world experience with corporate operations including accounting, IT, office management and customer service. The ideal candidate is a proactive, agile team player who thrives on interacting with people and is highly organized and efficient.

Responsibilities:
• General office administration: workspace management, mail processing, telephone responses
• Website inquiry response support
• Coordinate third-party contractors working on special projects
• Provide executive calendar management and scheduling support
• Develop, plan and provide logistical support for events
• Process and track monthly expense reports and reimbursements
• Act as liaison with third-party accounting firm and perform clerical accounting tasks including payment processing, contractor invoice tracking and PO generation
• Maintain and improve office filing and storage systems
• Coordinate submission and timely filing of government and business registrations
• Conduct guided and independent research projects
• Manage and maintain customer ticket system and respond to issues accordingly
• Follow-up with leads and sales calls to schedule appointments and site surveys
• Vendor relationship management and coordination

Required Qualifications:
• Exceptional ability to multi-task, manage time effectively, prioritize tasks
• Ability to remain flexible, embrace change, and manage uncertainty
• Strong organizational skills, attention to detail and timely follow-through
• Technical aptitude; experience with managing office IT including set-up, maintenance and troubleshooting
• Strong IT skills and familiarity with using and administering web services platforms
• Ability to rapidly learn and master new skills through direct training and self-guided research
• Customer service mindset; willing to follow through and get the job done
• Excellent written and interpersonal communication skills
• Demonstrate professionalism, exercise discretion and have an ability to handle confidential information with integrity
• Desire to improve process and take initiative to find creative solutions that improve operations
• Social media and web presence management
• Time Management and Troubleshooting experience preferred
• Ability to make decisions quickly and decisively

Bonus Qualifications:
• Experience with Google Apps, Dropbox, WordPress, Office 365
• Adobe product suite (Photoshop etc)
• Intermediate to advanced proficiency with Excel and/or PowerPoint
• 1-2 years of administrative or executive support experience
